Documents Required for Importing Medicinal Materials

Basic Commercial Documents:

1. Trade Contract: A detailed contract signed with the foreign supplier, specifying key terms such as the name of the medicinal materials (using standardized Chinese names and corresponding Latin names to ensure accurate species identification), specifications (e.g., size, grade, processing level), quantity, price, delivery time, and delivery location. This serves as critical evidence for customs to verify the authenticity of the trade and review transaction details.

2. Commercial Invoice: Issued by the foreign supplier, it clearly states the description of the medicinal materials, quantity, unit price, total price, etc. This document is used by customs to calculate the value of the goods, determine the dutiable value, and by the importing company for financial accounting. The content of the invoice must be consistent with and corroborate the trade contract.

3. Packing List: A detailed list of the packaging of the medicinal materials, including the quantity, weight (gross weight, net weight), packaging type (e.g., gunny bags, cartons, plastic bags), and packaging dimensions per box or unit. This facilitates customs verification of the actual quantity and packaging status of the goods, ensuring accuracy in the customs clearance process.

4. Bill of Lading: Depending on the mode of transport, this may be an ocean bill of lading or an air waybill. It serves as valid proof of shipment and records key information such as the shipper (foreign supplier), consignee (domestic importer), description of the goods (details of the medicinal materials), shipping route (port of departure, port of destination), and the vessel or flight. The domestic importer uses the bill of lading to take delivery of the goods at the destination port or airport. It is also an indispensable document in the customs declaration process.
